Reports to: The Employee shall work under the supervision of the CEO and Operations Manager on a day-to-day basis, or such other person designated by the Company. Responsibilities include but are not limited to: • Maintain organized supply stock for office functionality • Answer telephone, screen calls and take messages • Organize and maintain confidential files and records • Attend and record minutes of planning meetings and appointments • Prepare and edit correspondence, reports, and presentations • Make travel and guest arrangements • Manage calendars and schedule appointments • Provide a high level of quality customer service • Data entry and database management
Experience Required:
Requirements: • Previous Executive Assistant experience preferred • Strong computer skills- Microsoft Office Suite • Customer service oriented • Strong phone etiquette and communication skills • Special attention to detail • Ability to work well with all levels of internal management, staff, vendors and clients • Sensitivity to proprietary and sensitive information Working conditions: • Monday to Friday from 9:00am to 5:00pm • Willingness to work outside of normal office hours when necessary • Must be flexible and adaptable to work in a fast paced, high energy environment • Ability to travel within the US or internationally if required • Some physical activity is required (lifting up to 50 lbs)

Reports to: The Employee shall work under the supervision of the Program Managers on a day-to-day basis, or such other person designated by the Company. Responsibilities include but are not limited to: General Office Duties: • Maintain organized stock in company storage (includes props, décor and office supplies) • Answer telephone, screen calls and take messages • Organize and maintain confidential files and records • Regularly attend planning meetings and appointments • Provide quality customer service Program Duties: • Assist with travel arrangements, calendar management, and other projects as assigned by management • Attend and engage in creative development meetings to determine event concepts • Conduct event research, including but not limited to venues, vendors, décor items, entertainers, & collateral • Liaise with vendors to obtain quotes, contracts, invoices, W9’s and COI’s • Assist Program Managers with general coordination including site visits and vendor meetings • Coordinate and manage registration sites, hotel rooming lists, ground transportation, flights and onsite materials such as name badges and attendee packs • Attend events as required and carry out a variety of duties to include, but not limited to, manning the registration desk, liaising with vendors and clients, running errands, microphone running, collating and distributing materials, installing décor and signage, packing and unpacking boxes • Social media & PR support to Marketing Manager • Manage volunteer rosters across events
Experience Required:
